Frontline Source Group – temporary staffing and direct hire firm – is looking for an Office Assistant for our Dallas, TX client on a contract to possible hire basis.

Responsibilities of Position:
Provide general administrative assistance
Provide back-up coverage to Receptionist and other administrative assistants
Organize and handle filing system for production files
Responsible for ordering office supplies
Pick up and distribute mail, packages and faxes
Maintain postage machine and stamps
Maintain cleanliness in all common areas and keep well stocked
Cover AM breaks, lunch hour, PM breaks and out-of-office time off for Receptionist
New Hire set-up – supply work station or office with general supplies, coordinate with Office Manager
Assist with building maintenance
Other duties as assigned

Requirements:
High school graduate, 2 years college preferred
1-2 years of previous administrative experience preferred
Excellent communication, organizational, grammatical and time-management skills
Ability to multitask and effectively prioritize work requests
Ability to be an independent worker with a team player attitude
Ability to work in fast-paced, team-oriented environment
Intermediate working knowledge of Outlook, Word, Excel and PowerPoint (Office 2010 version)

Motivates, develops, leads, and manages the Software Development team to achieve their fullest potential.

EDUCATION & EXPERIENCE
Bachelor’s Degree in Computer Science or related field -or- 8+ year’s relevant experience in lieu of Degree
3 – 8 years minimum Relevant Experience
2 to 5 years minimum supervisory experience
5 to 10 years minimum project management experience
PMP Certification preferred

Division Order Analyst – Dallas TX

Summary of Position:
Responsible for proper distribution of revenues obtained from oil and gas production and ongoing maintenance of mineral ownership and review.
Procure, analyze, and interpret title opinions, contracts, leases, assignments, mineral deeds, probates, trusts, and other legal documents.
Set up and verify well interest.
Update and maintain master ownership decks for changes in ownership.
Establish and maintain effective communications with operators, mineral interest owners, attorneys, land men, title agencies and others necessary to respond to inquiries regarding division orders, gas purchase statements and payment issues.
Coordinate with the Accounting department to ensure timely payment of revenues and joint interest billings.
Interpret and process title documents for ownership set-up for Energy and Utilities company.
Contact companies who manage mineral owners for transfers.
Other duties related to the position.

Requirements:
Bachelor’s Degree or equivalent work experience, with a strong background in the oil & gas industry, preferably coming from a Land department
Must have 1+ years of experience as Division Order Analyst
Must have 1+ years’ experience in Oil & Gas
Advance working knowledge of lease, contract, and energy industry terms
Experience with Division Order Transfer is highly preferred
Thorough knowledge of land and mineral title work
Detail oriented and organizational skills will be keys to success in this growing organization
Ability to work in a fast-paced environment
Exceptional attention to detail
Demonstrated ability to organize large amounts of data in a detailed and logical manner
Flexibility to work hours as needed to meet deadlines
Ability to work independently with minimum supervision and handle multiple tasks simultaneously

GENERAL PURPOSE OF THE JOB
The Bilingual Human Resources Coordinator is responsible for oversight and completion of tasks related to Payroll and Human Resources. This position will also assist with other duties as instructed by management

ESSENTIAL DUTIES AND RESPONSIBLITIES
Essential functions, as defined under the Americans with Disabilities Act, may include the following tasks, knowledge, skills and other characteristics. Payroll
Provide reports to department managers for corrections and process corrections in the time entry system
Approve payroll for the location according to the published payroll calendar
Print timecards, have employees sign timecard prior to distribution of paycheck
Communicate/Resolve paycheck questions/issues with centralized Payroll Department
Process payroll changes such as address changes, direct deposit, pay and job title changes, new hires and termination paperwork

Human Resources
Follow Company procedures for recruiting, hiring and terminations
Conduct recruitment for open positions in both operations and sales/administration
Process new hire paperwork and conduct employee New Hire Orientation
Maintain operational and private personnel employee files, I-9’s and other relevant documentation
Notify and hold benefit meetings. Verify benefit enrollment paperwork, forward a copy to the Corporate Benefits department and maintain a copy of the enrollment paperwork in the employee’s private file.
Assist employees in the on-line benefits enrollment process
Assist management with employee complaint resolution, performance reviews, warnings and other employee communications
Ensure posting of all required HR and Safety documents
Follows all reporting procedures for safety violations and injuries
Adheres to all company policies, procedures, rules and regulations in written or verbal form
Complies with company and government safety requirements (including the correct use of Personal Protective Equipment) and other regulations
Attends department meetings and attends other location meetings and safety meetings

EDUCATION AND/ OR EXPERIENCE
High school diploma or GED equivalent required
College degree preferred
1-3 years HR experience or equivalent combination of education and experience

Language Skills
Bilingual in Spanish is required
Ability to read and comprehend complex instructions, correspondence, and memos
Ability to author employee reviews and other complex correspondence
Ability to effectively present information in one-on-one and large group situations to customers, clients, and other employees of the organization

Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form

Summary:
Team Member serves as a direct point of contact that answers incoming calls from customers to quote and sell insurance policies and related products in a call center environment.  The Team Member’s duties may include but are not limited to processing customer applications, selling policies and additional products, endorsements, payments and handling customer inquiries.

Responsibilities:
Quote/sell insurance policies and additional products/services to current and prospective clients
Answers the telephone in a prompt and courteous manner
Provides product quotations, pricing, required information and directions to prospective clients
Follow-up on price quotes given to prospects, answer questions, and to provide an opportunity to complete an application
Prepare quotations for customers’ change requests to the policy
Request any missing or required information from customer and follow up for that information
Make outbound calls to clients for recovery and retention of business
Receive and respond to all customer inquiries and complaints
Take/receive customer payments

Qualifications:
Must have a High School Diploma or GED
1+ years of relevant experience preferred
Must be P&C licensed or able to obtain Property and Casualty insurance license within 60 days of employment (company pays for coursework and test)

Project Controller Manager – New York NY

Project Controller Practice is comprised of client service professionals specializing in project and account operations serving as a focal point for aspects of engagement, program, and account management control.  Project controllers provide engagement management knowledge for the entire project management team(s) by assisting with initiating and controlling organization and logistical aspects of projects. Their greatest value, however, is in the understanding and application of engagement business and financial processes both to individual projects and to client accounts.

Responsibilities:
As part of the Project Controller the Project Controller Manager (Audit Focused) will be responsible for the engagement economics management of one or more Audit engagement teams through successful management of the financial analysis and the implementation of project management controls.  PCMs oversee the activities of the project controller staff, including supervision, task management and deliverable quality reviews. On any given assignment, the PCM may be responsible for preparing and leading the following activities:
Supervise and prepare engagement and/or client financial management reporting (pricing analysis, budget preparation, time and expense tracking, budget reconciliation and variance analysis, client billing and receivable collection, financial performance forecasting);
Establish controls and ensure the quality and integrity of engagement and/or client financial records and reporting;
Conduct quality reviews of and provide feedback on the technical work products of junior resources;
Identify, address, and resolve engagement, contract management and compliance issues;
Facilitate communication between engagement leadership and firm financial organization;
Interact frequently with senior level internal and external clients and firm leadership to present various analyses, discuss recommendations and provide project financial advice;Perform and manage project management office (PMO) functional tasks and perform day-to-day contract management activities;
Support the growth and career development of junior resources by serving as an informal mentor and, as assigned, a formal Counselor to junior staff, providing them with regular career and professional development guidance;
Contribute to the growth and development of the overall Project Controller Practice through active involvement in various practice initiatives;
Prepare and facilitate firm training sessions on a variety of topics and methodologies;
Participate in formal mid-year and year end performance assessment activities for assigned counselees;
Work with practice leadership to resolve practitioner performance issues;
Provide guidance, direction, and leadership to proposal efforts from the project management/control perspective.

Required Skills:
B.A./B.S;
Minimum of 7 years experience in financial analysis, budgeting, or project accounting;
Minimum of 4 years experience in management and supervision (responsibility for defining work activities, assigning work responsibilities of others, setting and achieving work objectives);
Minimum of 4 years experience with the entire Microsoft Office Suite, including advanced level PowerPoint and advanced to expert Excel skills (Excel certification will be required post-hire);
Ability and willingness to travel as needed (frequency is dependent on the office location and project assignments);
Experience summarizing results and producing management reports;
Experience supporting staff career development through participation in formal and informal employee performance review process;
Experience producing and delivering appropriate communications to the Executive Level;
Previous experience in conducting interviews and making hiring decisions/recommendations;
Ability to identify and resolve issues independently and to escalate when appropriate;
Ability to handle multiple tasks in a fast-paced environment;
Ability to work effectively, both independently and as a member of a team;
Outstanding attention to detail and adherence to project deadlines;
Strong problem solving and trouble shooting skills with ability to exercise sound judgment.

Environmental Supervisor – Clarksville TN

The Environmental Supervisor is responsible for the environmental compliance program at the manufacturing facility by providing day-to-day environmental support to operations, developing, implementing, and maintaining required plans, permits, and reports within the organization.  The Environmental Supervisor is also responsible for training personnel and implementing environmental risk management system, understanding and implementing new environmental regulations applicable to the facility, and establishing and maintaining positive working relationships with site personnel and environmental agencies.

Works directly with plant manager to ensure that environmental requirements are proactively integrated into the facility’s operations.

Environmental Responsibilities
Direct and assist in compliance of federal (EPA) and State environmental program requirements, including but not limited to air, wastewater, storm water, solid and hazardous waste, CERCLA/EPCRA.
Analyze incident and compliance trend data and work with operating departments
Participate in incident investigation, mitigation, root cause analysis and corrective action
Coordinate activities and prepare/submit reporting to outside agencies
Stay current with new ideas, engineering and techniques in the environmental field
Represent facility during agency inspections
Identify cost effective solutions for technical and regulatory environmental issues

Job Requirements
Minimum 5 years direct industrial environmental experience
3 years direct involvement in all aspects of a Title V air program
Bachelor’s degree in science, engineering or related field or combination of education and experience
Proactive and assertive, with sense of urgency to problem solving
Ability to read, analyze and problem solve with attention to detail Ability to communicate (written and verbal) to employees, managers, customers, vendors, etc.
Ability to organize, prioritize, and execute multiple projects effectively
Ability to develop effective action plans and drive continuous improvement of the facility’s environmental compliance program and management systems
Strong computer skills with experience using Microsoft Word, Excel, and Power Point.  SAP experience is a plus.
Ability to travel out of state occasionally.

Full charge Bookkeeper (Non-Profit) – Nashville TN

Frontline Source Group  – temporary staffing and direct hire firm – is looking for a Full Charge Bookkeeper for our Nashville, TN (Green Hills) non-profit client client on a contract to possible hire part time (20-30 hours a week) basis.

Job Description:
The Bookkeeper is responsible for maintaining accurate financial records.  They are knowledgeable of Generally Accepted Accounting Principles and other statutes governing non-profit financial activities.  In consultation with the VP of Finance and the Treasurer they manage the financial transactions of the company ensuring appropriate allocation to income and expense accounts and timely generation of management reports. Insures all donors receive thank you and tax letters in a timely manner.

Duties:
Issue all payments weekly for the company’s operating account.
Manage all transactions that occur via the website.
Record all deposits via Quickbook Pro.
Bill and assist the VP of Finance and Managing Director with collecting annual membership dues, sponsorships and underwriting for fundraisers, annual fund pledges, capital campaign pledges and endowment fund pledges.
Work with VP of Finance and Treasurer to enter committee budgets and overall annual budget on a timely basis.
Provide assistance to treasurers of all committees.
Verify deposits for fundraisers with respective Treasurers.
Review and process bi-weekly employee payroll to ensure accuracy.  Ensure the allocation and payment of pension funds to employee retirement accounts.
Calculate and pay Tennessee sales tax due on a quarterly basis.
Manage, initiate and post electronic payment drafts via bank system (ACH drafts for dues).
Reconcile all accounts monthly; coordinate bookkeeping activities and reconciliation of investment accounts activities with volunteer Asset Manager.
Reconcile monthly operating bank statement.
Define accounting policies for events with committee chairs
Ensure thank you letters, and tax letters are signed by necessary person (President and/or fundraising chairs and mailed).
Properly account for in-kind gifts.
Coordinate yearly transition of signature cards, corporate resolution, and bank cards for new Executive Committee members.
Prepare monthly financial statements, including balance sheet and income statements, for Board review.  Prepare comparative committee budgets.
Provide reports required during annual financial audit process. (Accountant)
Review all monthly activity to the GL (Accountant)

Requirements:
3 or more year’s experience in bookkeeping and financial management.
B.S. degree in Accounting preferred.
Proficient computer skills, including Microsoft Outlook.
Experience with QuickBooks Pro preferred.

Flexible.
Exercises judgement and initiative in interpreting policy and guidelines on financial matters.
Has in-depth understanding of institutional financial policies and procedures and makes appropriate decisions based on this knowledge.

Position Summary: Executive Assistant

Position Overview:  Executive Assistant will primarily provide administrative support to the CEO with the Advisory group. The executive assistant will perform advanced administrative/clerical duties as well as handle project assignments to support initiatives and strategic needs. This position requires a high level of confidentiality and discretion, the ability to manage relationships both internally across the firm and externally, excellent time and project management skills, as well as mastery logistics planning skills related to travel and calendaring.  Position will require overtime as needed.

Primary Duties and Responsibilities:
Administrative
Schedule meetings, organize and maintain calendars with the ability to understand and anticipate challenges facing leadership executives and be able to manage/reschedule priorities effectively and proactively. Prepare meeting logistics, coordinate preparation and distribution of materials, record minutes (if needed) and maintain/monitor follow up task list to ensure timely completion. Team with core leadership team (if applicable) to ensure completion of action items.
Prepare and reconcile time and expense reports and perform audits as necessary. Manage complex time and expense weekly processing; ensure adherence to compliance guidelines.
Coordinate all aspects of travel arrangements for both domestic and international business travel including but not limited to booking flights, hotel and local transportation, providing agendas and itineraries, and arranging passport/visa requirements if necessary.
Serve as a point of contact for execution of administrative support for senior firm leadership (CEO, Board of Directors, Executive Committee, etc.) when needed.
Prepare all types of correspondence often acting independently, including letters, memorandums, agendas, reports; prepare additional documents as needed including composing, proofreading, formatting, and editing documents into client ready deliverable(s).
Manage all departmental entertainment/sporting event tickets and coordinate suite catering.
Maintain hardcopy as well as electronic filing systems for all standard and confidential files. Process records and prepare files for archiving as needed.
Coordinate meetings and conferences and may attend department meetings and prepare minutes as directed.
Use analytical ability to gather and summarize data, make decisions and solve problems.
Handle sensitive/confidential information requiring a high level of discretion.
Develop a good working relationship with all levels of staff.
Cultivate relationships and maintain contact with external clients on behalf of internal clients.
Function as a backup for other Administrative Assistants within the group and support other teaming activities as directed.
Prepare requisitions for specific office purchases with appropriate authorization and arranges for payments.
Search and collect information from various internal/external sources to provide preliminary research.

Minimum Qualifications & Requirements:
Advanced organization and time management skills are a must: detail-oriented with the ability to prioritize and multi-task with excellent follow through skills.
Highly tuned client relations skills and a focus on results with the ability to be proactive and anticipate client needs/problems and act accordingly. Must possess the ability to exercise good judgment and decision making skills, the ability to take initiative (assertive and confident).
Professional presence with the ability to build credibility and optimize interactions by adapting own personal style to engage a wide range of personalities. Collaborate with other AAs and possibly senior firm leadership and clients, both internal and external.
Extremely flexible: must be able to constantly prioritize/reassess multifunctional position and have the flexibility to work overtime as required.
Possess mastery communication skills – verbal (active listening), written, proofreading skills; ability to write/answer correspondence and communicate with professionalism and business maturity.
Possess extensive T&E, calendar and travel management experience.
Advanced computer skills – MS Word, Excel, Access, PowerPoint, Outlook and Internet.
Related experience of 8+ years, providing support at the Executive/Leadership level, preferably in a large corporate, professional services environment.
Associate or Bachelor’s degree preferred.

Medical Billing and Coding – Cleveland, TX

Frontline Source Group  – temporary staffing and direct hire firm – is looking for a Medical Biller and Coder for our Houston, TX client on a contract to possible hire basis.

Responsibilities:
Assist with billing and coding
Assist with collections
Understand CPT codes
ICD9 procedures
Understand diagnosis codes
Work with adjustments

Skills and Qualifications:
3+ years experience with medical billing and coding
Associate’s degree preferred
Prior hospital experience preferred
Prior collections experience a plus
